Two screens show different numbers for the same thing

Last updated 25 September 2026Available onProBusinessEnterpriseThe screens compared here — Data sources, Attribution & Journeys and Dashboards — all need Pro or above, and at least one synced tool.

Most pairs of figures that disagree are answering two different questions, and the screen usually says which. This article lists the pairs that differ by design, shows you how to work out which one answers your question, and how to make the two comparable on purpose. If neither figure matches your CRM, start with My record count does not match my CRM instead.

Before you start

Have both screens open. You need the exact figure, the date range on each, and the label under each — the label is what tells you what is being counted.

Tip

Read the population line at the top of any analysis before you compare it with anything. It states what was read, out of what, and whether it was sampled — "Read 12,400 of 44,900 people created 1 Jul 2026 – 30 Sep 2026 (of 77,662 in all)".

The pairs that differ by design

A rate on one screen is much lower than the rate on another

Why: They are different rates. Win rate on the Data Audit tab is measured on deals: won over won plus lost, with open deals in neither side. The rates in the contact tables are measured on people who reached customer stage, over everyone carrying that value. A conversion rate to customer is almost always the smaller number.

Fix: Read the column heading. A deal-grain figure says "win"; a contact-grain figure says "convert". Compare like with like, or quote both and say which is which.

One screen counts people and another counts records

Why: The CRM & Sources tab reduces submissions to one row per person and matches them by email against your CRM contacts, so its Unified Profiles figure counts people. A record count counts rows, and duplicate emails are separate rows.

Fix: Read the Duplicate emails tile on the Data Audit tab. Counts there treat each record separately, so per-person figures elsewhere fold those repeats together.

Reports and the Data Audit disagree on the same tool

Why: Focus filters choose which records get enriched, normalised, scored and reported on. Reports honour them. The Data Audit describes the whole synced store, so it reconciles against what you see in your tool.

Fix: The Data Audit tab says so when they are on: "Focus filters are active in Intelligence settings — reports honor them, while this audit describes the full synced store." Press Focus filters on the Intelligence Studio screen and either clear them or apply the same narrowing to what you are comparing against.

A tab on the tool page ignores the date range you set

Why: The range applies to the Executive Read, Data Audit, Analysis and Suggested Plan tabs. Field Intelligence and Report Templates always read the whole store, because a field-by-field profile describes the field rather than a period.

Fix: Compare ranged figures with ranged figures only. The scope line above the tabs prints the period in words, so you can see at a glance which one you are reading.

A Pipedrive figure appears on one screen and not on another

Why: Pipedrive Leads live in the same store as deals. Any analysis about deals excludes them and reports how many it set aside. Analyses about the top of the funnel keep them, because that is where a lead belongs.

Fix: Read the caveat naming the number set aside. A lead is counted in the funnel analyses and left out of every opportunity count, pipeline value and outcome.

An analysis states a smaller population than the audit on the same tab strip

Why: Above an analysis's cap MarqIQ reads an even sample — one record in every N, by a fixed hash of its id — while a count reads the whole store. The sample spans your whole history, and the same records are read on every visit, so the figures do not shift between two looks.

Fix: Take shares and rates from the sampled analysis and counts from the audit. The population line at the top of the analysis says which of the two you are reading.

The Data Audit is behind the rest of the page

Why: The audit is expensive at scale, so it is worked out once per sync and stored. Right after a sync, or after a MarqIQ update that changes how it is calculated, the audit computed before is shown while the new one is worked out behind you. On a very large workspace that takes several turns of the scheduled refresh.

Fix: Read the grey line under the tabs that says when the figures were computed: it gives the date, and no line means the figures are current. Press Recompute in the page header to work the audit out now. The header also prints when the tool was last synced.

Your AI assistant gives a different figure from the screen in front of you

Why: The assistant answers over all time unless it is given a period. The data audit it reads takes a period only when you ask for one, and it says which period it used in its answer.

Fix: Ask for the period explicitly — "the deals created between 1 July and 30 September". Where a screen sits behind a plan gate, the assistant applies the same gate: the executive read is refused to it on a plan that does not include it, so an assistant is never a way round one.

Two figures that are wrong rather than different

Take care

On the CRM & Sources tab of Attribution & Journeys, the CRM Only tile is always 0 — that report starts from people who submitted a form, so a contact that exists only in your CRM is never counted. On the same tab, the panel captioned Attribution by Source (last-touch, matched contacts) is tallied over every profile in the report, not only the matched ones. Use the tool's own Data Audit page for both of those questions.

How to make two screens comparable

  1. Set the same date range on both, explicitly.

On a tool page the range lives in the address bar as ?from= and ?to=, so you can copy it from one tab to another and share exactly what you saw.

  2. Clear Focus filters, or apply them to both.

  3. Press Recompute on the tool page so the audit is not a sync behind.

  4. Check the grain: people, records or deals.

The tile labels say it — Contacts analyzed, Total opportunities, Unified Profiles.

  5. Read both population lines.

  6. Quote the smaller population alongside the figure.

If it did not work

The two still differ and both look correctly scoped

Why: One of them may be reading a period your tool never filled in. A record with no created date falls outside every range, and the two screens may treat that differently.

Fix: Set Created to All time on both. The Data Audit tab reports how many people carry no created date at all.

A colleague sees a different number from you on the same screen

Why: Roles change what each person can open, not what a figure counts. A more likely cause is that one of you has a saved range or a focus filter set.

Fix: Send each other the full page address, including ?from= and ?to=, and compare with focus filters cleared.

A widget on a dashboard differs from the saved report it was built from

Why: A dashboard has its own date selector at the top, and it overrides the period each report was saved with. Every widget on the board then answers over that period instead.

Fix: Choose Report default in that selector, or open the saved report and read it there. Press Refresh to re-read every widget once they agree.

Neither figure is right

Why: This is no longer a question about two screens.

Fix: This is a question about one figure, so start from My record count does not match my CRM or My deal numbers look wrong. If neither settles it, open a support case with both screens, both ranges and one or two record identifiers.
