Check open deals every Monday with the Pipeline Inspector

Last updated 21 October 2026NeedsHubSpotSalesforcePipedriveZoho CRMMicrosoft DynamicsPardotA CRM whose deals sync. Agents are behind a role, not a plan: reading one needs View on Prebuilt Reports; setting one up needs Edit on Workspace Settings.

The Pipeline Inspector is an agent that reads the open deals of one CRM every Monday and lists the ones that need a look — past their close date, with no next step, moved back a stage, with a close date that was pushed, or with an amount that was cut — grouped by rep, with a table for the managers and each rep’s own list sent only to them. This article sets it up, states each rule with its default, and says what a rep, a manager and a reader each receive. For the week’s numbers rather than the deals, read Get the Monday Brief by email.

Before you start

The inspector reads the deals MarqIQ has synced and the change log it keeps. The next-step rule reads a field your tool holds — HubSpot’s Next step and next activity date, Salesforce’s Next Step and open activities, Pipedrive’s next activity, Zoho’s Next Step. Microsoft Dynamics and Account Engagement have no such field, so for those tools that rule is a set-up line rather than a count.

Note

A rep receives their own deals only when the deal tool lists them under the email they sign in to MarqIQ with. The form refuses a rep it cannot match and says so.

Set it up

  1. Open Agents in the left-hand menu.

  2. Click New agent.

  3. Type a name, and pick Pipeline Inspector under Kind.

  4. Pick the day and the hour.

The default is Monday 07:30 on the workspace clock, half an hour after the Monday Brief.

  5. Tick each person, and choose how they receive it.

    • as a reader — the shared sections: every flagged deal, grouped by rep.
    • as a manager — the shared sections and the managers’ table: one row per rep with their counts.
    • as a rep (their own deals only) — a message holding only that rep’s deals, and nothing of anyone else’s.
  6. Click Set it up.

  7. Click Preview to read this week’s list now, without sending it.

The five rules, and their defaults

RuleFlags a deal whenDefault
Past its close dateThe close date is before today on the workspace clock, by at least the days set. Said in bands: 1–7, 8–30, 31+ days1 day
No next stepThe next-step field is empty and nothing is scheduled, on a deal past the first stage of its pipeline and open for at least the days set7 days open
Stage gone backwardsA sync saw the stage change, in the window, to one lower on the same pipeline of your tool’s own stage order7-day window
Close date pushedA sync saw the close date move to a later day, in the window, with the count of pushes in the last 90 days7-day window
Amount cutA sync saw the amount fall by at least the share and the minimum set, in the deal’s currency10%, and at least 1,000

A rename in your tool, or MarqIQ re-reading a field, is never a move. Each threshold can be changed under Change on the agent, within the range the form states.

  • A rep is shown at most 50 deals and the managers’ table at most 20 reps; both caps are printed when reached, with the count left out.
  • Money is per currency and never added across currencies.
  • Every deal links into your tool, by the deal’s own name. No contact’s name, email address or phone number is in the report.
  • Where your tool names managers — Salesforce, Zoho CRM, Microsoft Dynamics, Pipedrive’s teams — reps are grouped under them and the table says so. HubSpot names none, so reps are grouped by primary team and the managers are the people you named as managers.

Read "What this rests on"

The foot of every report names the thresholds it used, the count of open deals it read, and anything it could not judge: a stage whose order MarqIQ does not know yet (said as "stage changed from X to Y", never guessed), deals not re-read since the next-step field was added to the sync (said as "next step unknown for N deals", never counted as "no next step"), or a change log younger than the window, with the day the three change rules start.

Tip

A tool with no open deals says so, with the time of the last sync. A tool whose deals are all in order says what was checked. Neither is a bare zero.

If it did not work

A rep cannot be added as a rep

Why: Your tool lists no user under the email that person signs in to MarqIQ with, or the tool does not list its users to MarqIQ at all.

Fix: Match the addresses in your tool, or add the person as a reader — they then receive every rep’s deals, not only their own.

The managers’ table says some reps could not be messaged

Why: Those reps have no email in the tool, or are not recipients of this agent as reps.

Fix: Add them under Change, as reps. The table counts them until you do.

Every deal reads "next step unknown"

Why: MarqIQ started reading the next-step field in October 2026 and does not re-read every deal at once; a deal last read before then carries no value for it yet.

Fix: Run a sync. Deals re-read since then are judged; the report names how many are still unknown.

Monday came and nothing arrived

Why: The agent is off or paused, no recipient has signed in for 30 days (a weekly agent is skipped until someone does), or scheduled runs are not switched on for this server yet.

Fix: Open the agent and read Last runs. If no run is listed at the scheduled time, click Run now, send to everyone and tell support that the schedule did not fire.

The email was skipped and names a setting

Why: Agent emails need the sending address and the unsubscribe secret set on the server; until then no agent email is sent, and the in-app report still arrives.

Fix: Read it in Agents › Inbox and tell support the run id.
